Terms
Land Cost
Our expedition
fees are calculated on the basis of land
cost.
Land cost
includes: professional U.S. and local
guides, porters and pack animals, in-country
ground and air transportation, all overnight
accommodations, all scheduled meals,
permits, group climbing equipment (ropes,
rock, snow and ice protection, oxygen,
etc.), group camping equipment (tents,
stoves, fuel, cooking pots, first aid kits,
etc.).
Land cost does
not include: international roundtrip
airfare, personal climbing and camping
equipment (consult the Personal Equipment
Checklist for your expedition), trip
cancellation insurance, medical or
evacuation insurance, excess baggage fees or
airport taxes, expenses incurred as a result
of inclement weather or other conditions of
nature, government action, illness, flight
delays, or any other delays beyond the
control of Expedition-Logistics, including
unscheduled hotel nights and meals,
incidental personal expenses (phone calls,
laundry, room service, etc.), alcoholic
beverages, or gratuities to guides, porters
and staff.
Fee Payment Schedule
At time of
booking – non-refundable $2000 deposit (if
booking less than 120 days from date of
departure, full payment is due with
application)
180 days from
date of departure* – additional $5000
120 days from
date of departure – balance of expedition
fee
*For planning
purposes, date of departure is defined as
Day 1 of the expedition’s published
itinerary.
Cancellation and Refund Policy
We understand
how difficult and disappointing it can be
for you have to cancel your participation in
an expedition for which you have trained and
planned for so long. We ask you to
understand that due to the nature of
planning mountaineering expeditions to
foreign countries, and the high up-front
costs involved, we incur significant
expenses in the months prior to an
expedition’s date of departure. For this
reason we adhere to a strict refund policy
and strongly recommend you purchase trip
cancellation insurance to protect your
investment.
All cancellation
requests must be sent to
cancel@expedition-logistics.com
and will be processed as of the date
received as follows:
More than 120
days from date of departure – full refund
(minus deposit)
120 to 90 days
from date of departure – 50% of expedition
fee
Less than 89
days from date of departure – no refund
In the event
your balance is not received by the 120-day
deadline as set forth in the fee payment
schedule, we must regrettably assume you are
unable to participate and reserve the right
to resell your spot on the expedition.
If you find
someone to go in your stead, any moneys
received from you will be transferred to
your replacement. We strongly recommend that
you purchase trip cancellation insurance.
Expedition-Logistics reserves the right to
cancel an expedition prior to its date of
departure for any reason whatsoever. In the
event of such a cancellation,
Expedition-Logistics will promptly refund
all monies collected from team members for
that expedition.
Change of Itinerary Policy
All requests for
changes from one itinerary to another must
be sent to
change@expedition-logistics.com
and must be accompanied by a new Online
Application Package.
A $75 fee will
be applied to all changes of itinerary
All changes of
itinerary will be for credit only and are
valid for one year from notification and
receipt of new application
Trip Cancellation Insurance
An application
for trip cancellation insurance will be
emailed to you along with the request for
final payment of your expedition fee. Your
premium payment for trip cancellation
insurance is due with your final payment,
120 days before your date of departure.
Please be aware
that trip cancellation insurance cannot be
purchased after you make your final payment.
We strongly recommend you purchase trip

Team Member Responsibility
You will receive
an Expedition Information Package via email
upon your acceptance on the team. You will
be provided with, and be responsible for
knowing, all pre-departure information, the
in-country meeting location, and securing
all proper travel and identification
documents, as well as personal clothing and
equipment prior to your date of departure.
You are
responsible for your personal health and
well-being. For reasons of personal and team
safety and success, it is mandatory that you
arrive for the expedition having undertaken
a lengthy program of physical training, and
in excellent physical condition. You may be
required to provide a physician’s release
prior to your date of departure.
You are
responsible for conforming to basic
standards of hygiene so as to minimize the
risk of travelers’ diseases, and comporting
yourself in a civil and considerate manner
towards your fellow team-members and with
respect for the customs and courtesies of
our host country.
Airline Responsibility
The air carrier
will not be held responsible for any act,
omission or event while you are not onboard
the designated aircraft or terminal
conveyance. Passenger/Airline contracts
stand in effect while you are onboard each
particular aircraft. This applies to all
carriers.
Conditions
Expedition-Logistics, LLC, its owners,
officers, directors, employees, agents,
associates, affiliated companies and
subcontractors, and all other persons or
entities acting in any capacity on their
behalf (herein after collectively referred
to as “Expedition-Logistics”), hereby give
notice that they act only as agents for
in-country hotels, transportation companies,
land operators and suppliers of travel
services.
Expedition-Logistics assumes no
responsibility or liability in connection
with the operation or service of any
aircraft, motor vehicle, other conveyance,
inn, lodge or hotel which may be used wholly
or in part for services to
Expedition-Logistics and its clients.
Expedition-Logistics, its operators,
airlines and agents will not be responsible
for any act, error or omission, nor for any
injury, loss accident, delay, inconvenience,
irregularity or damage which may be
occasioned by any cause whatsoever. This
includes acts of nature, civil disturbance,
government restrictions, or failure of any
means of conveyance to adhere to published
schedules.
Prior to your
date of departure, Expedition-Logistics
reserves the right to substitute leaders,
and to change the price of, cancel, or
withdraw an expedition for any reason
whatsoever. Once in-country,
Expedition-Logistics, at the professional
discretion of the Lead Guide, reserves the
right to alter or omit any part of the
itinerary, to substitute accommodations, to
change any means of conveyance without
notice and without allowance of refund, and
with liability for increased cost, if any,
borne by the team members.
Expedition-Logistics reserves the right to
accept or reject any person as a team member
at any time.
Expedition-Logistics is not responsible for
expenses such as non-refundable airline
tickets, visa fees, equipment purchases,
etc., incurred by team members in
preparation for a trip that is ultimately
cancelled, whether or not cancelled by
Expedition-Logistics, or for any additional
expenses should a team member have departed
or returned prior or subsequent to any
scheduled expedition date.
Expedition-Logistics is not responsible for
expenses incurred as a result of any
deviation from the itinerary undertaken by
choice of the team member.
I understand and
am aware that during the expedition in which
I will participate through the arrangements
of Expedition-Logistics, certain known and
unanticipated hazards and risks may arise.
The hazards and risks associated with my
participation in this mountaineering
expedition may include, by way of example
and not limitation, the following: The
dangers of traveling in remote backcountry
areas, including slips and falls on steep or
treacherous terrain; falling off the rock,
mountain, or into a crevasse; being struck
by falling rock or ice, or other object or
objects dislodged or being thrown from
above; climbing equipment misuse, failure or
loss, or misuse, failure or loss of other
equipment; inclement or extreme weather
conditions or other forces of nature,
including avalanche, lightning, flood,
landslide, volcanic eruption, or other
natural occurrence; the risk of exposure to
insect or animal bites; the risk of exposure
to high altitude, including cold or heat,
hyperthermia, hypothermia, frostbite, acute
mountain sickness, or cerebral or pulmonary
edema; the dangers of participating in an
highly physically strenuous activity; my own
physical condition; shortage of food or
water supply; the hazards of traveling in
politically unstable areas, including the
dangers of civil disturbances, terrorism and
war; acts or omissions on the part of
Expedition-Logistics; travel by motor
vehicle, train, boat, ship, aircraft, or
other means of conveyance; accidents or
illness in remote places without access to
medical facilities, transportation, or means
of rapid evacuation and assistance; and the
very real possibility of serious physical or
emotional injury, paralysis, death, or
damage to me, to property, or to third
parties.
I certify that I
am familiar with the known and unanticipated
hazards and risks inherent to guided
mountaineering expeditions as listed above,
and I accept and clearly understand that
these hazards and risks may result in
personal injury or death to me and/or
others.
